Comments such as “be more aware” or “that was inappropriate” may create confusion because they do not identify what happened or what should change.

Use situation, behavior, impact, and alternative

Explain the situation, the observable behavior, the impact, and the preferred alternative. For example: “During the client discussion, the joke was understood as criticism. In future meetings, avoid jokes about the customer’s decision and raise concerns directly.”
